Booking Policy

1. Reservation and Confirmation

All bookings are subject to the availability of the selected facility, activity, date, and time. A reservation is considered confirmed only upon successful payment or approval of the submitted payment verification by Management. Unpaid, incomplete, or unverified reservations are not guaranteed.

2. Booking Information

Customers must provide accurate and complete information when making a reservation. The person making the booking is responsible for verifying the selected schedule, facility, number of participants, and applicable charges before confirming the reservation.

3. Payments and Charges

Full payment is required to secure a reservation unless an alternative payment arrangement is expressly authorized. All fees must be settled through the approved payment methods. Additional services, equipment rentals, or extensions may incur separate charges.

4. Facility Usage and Schedule

Customers may use the reserved facility only during their confirmed booking period. Participants are encouraged to arrive at least 15 minutes before their scheduled session. Late arrival does not automatically extend the reserved period. Extensions are subject to availability and additional fees.

5. Facility Rules and Conduct

All participants must observe posted facility regulations, safety instructions, equipment requirements, and directions issued by authorized personnel. Management reserves the right to deny entry or discontinue activities involving unsafe behavior, misconduct, property damage, or violations of facility regulations.

6. Booking Changes

Requests to modify a confirmed booking, including changes to the date, time, facility, or activity, are subject to availability and the applicable Cancellation and Refund Terms. Changes are effective only after confirmation by Management.

7. Facility Availability and Interruptions

Management may temporarily suspend, relocate, or cancel reservations when necessary due to maintenance, safety concerns, severe weather, emergencies, or circumstances beyond reasonable control. Affected customers will be offered an appropriate rescheduling or refund arrangement.

8. Booking Responsibility

The booking holder is responsible for communicating the applicable venue rules and schedules to accompanying participants. Reservations must not be transferred or commercially resold without prior authorization.

9. Policy Compliance

By completing a reservation, the customer acknowledges and agrees to comply with this Booking Policy and the applicable rules of the selected facility.

CancellationVersion 1.0

Cancellation and Refund Terms

1. Non-Refundable Confirmed Bookings

All confirmed and paid reservations are considered final and non-refundable. Once a booking has been confirmed, customers are not entitled to a refund for cancellations, changes of plans, scheduling conflicts, late arrivals, or failure to attend the reserved session.

Customers are encouraged to carefully review their selected date, time, facility, and booking details before completing payment.

2. Exceptional Circumstances and Uncontrollable Events

Refunds may be granted when the reserved facility becomes unavailable or unsafe for use due to circumstances beyond the reasonable control of the customer or facility.

These circumstances may include, but are not limited to:

Power outages or unexpected electrical interruptions.

Typhoons, severe weather conditions, flooding, earthquakes, or other natural disasters.

Facilities deemed unsafe, damaged, or unsuitable for the scheduled activity.

Emergency repairs, unexpected maintenance, or essential facility closures.

Use of the gymnasium or facility for official school activities, institutional events, or other authorized functions that prevent the confirmed reservation from proceeding.

Designation of the facility as an evacuation center or its use for emergency response operations.

Government directives, public safety restrictions, or other unforeseen circumstances preventing facility operations.

When any of these circumstances prevent a confirmed reservation from proceeding, the affected customer may be offered a full refund or an alternative booking schedule, subject to availability and applicable law.

3. Cancellation by the School or Facility Management

The School or Facility Management reserves the right to cancel, suspend, or reschedule confirmed bookings when necessary for safety, emergency response, institutional requirements, or unavoidable operational circumstances.

Affected customers will be notified as soon as reasonably practicable through the contact information provided during booking.

If the confirmed reservation cannot be honored, customers will be eligible for a refund of the affected booking fees or may choose an alternative available schedule without additional rescheduling charges.

4. Customer-Initiated Cancellations and No-Shows

Cancellations initiated by customers for personal reasons, including changes in availability, scheduling conflicts, personal emergencies, or failure to attend, are generally not eligible for refunds once the booking has been confirmed.

Late arrivals, early departures, and unused portions of reserved playing time are likewise non-refundable.

Exceptions may be considered only when required by applicable law or expressly approved by Management.

5. Refund Request and Approval

Refund requests must be submitted through the official booking platform or directly to authorized School or Facility Management personnel.

Each request will be reviewed based on the circumstances, booking information, payment records, and supporting documentation when necessary.

Refunds are not automatically issued upon submission of a request and must undergo verification and approval by authorized personnel.

6. Manual Refund Processing

All approved refunds shall be processed manually by the School or its authorized personnel.

The School will coordinate directly with the customer regarding the appropriate refund arrangement and payment method.

Approved refunds may be released through:

Bank Transfer: Refunds transferred to the customer's verified bank account.

Electronic Wallet Transfer: Refunds sent through an accepted electronic payment service, such as GCash or Maya, when available.

Cash Refund: Refunds released personally through the School's authorized cashier or designated personnel, subject to identity and transaction verification.

Other Approved Methods: Alternative refund arrangements mutually agreed upon by the School and the customer.

The refund method will be determined in coordination with the customer, subject to the School's available payment facilities and accounting procedures.

7. Refund Processing Period

Approved refunds will be arranged within a reasonable period following the completion of verification and approval.

The School will communicate the refund method, expected release schedule, and any necessary requirements directly to the customer.

Processing times may vary depending on the selected refund method, banking arrangements, and administrative procedures.

8. Refund Amount and Payment Verification

Refunds will generally cover the amount paid for the affected and unused booking when the facility is unable to provide the reserved service.

Any applicable transaction charges or adjustments must be clearly communicated and handled in accordance with applicable laws and the terms disclosed at the time of payment.

Customers may be required to provide proof of payment, booking confirmation, and appropriate account information to facilitate refund processing.

9. Final Review and Applicable Rights

All refund decisions shall be reviewed and documented by authorized School or Facility Management personnel.

Management shall evaluate requests fairly and consistently, taking into consideration the circumstances of the cancellation and the customer's applicable rights.

Nothing in these terms shall limit any refund, remedy, or consumer protection guaranteed under Philippine law.
